Academiq (Agent Lab) takes your privacy seriously. This policy explains what data we collect, why we collect it, and how we protect it. By using the app you agree to this policy.
Data We Collect
- Account information: name, email address, phone number, and role.
- Academic records: grades, attendance, assignments, and academic notifications.
- Health and clinic records: school clinic visits — accessible only by authorised medical staff and the student's guardians.
- Files and attachments: profile pictures, assignment submissions, and medical attachments.
- Push-notification identifiers: used solely to deliver in-app notifications to your device.
- Optional location: used only in the foreground for optional school-bus live tracking shared with parents.
- Anonymous usage analytics: collected to improve performance; contains no personal identifying information.
How We Use Your Data
- To operate the core educational service (grades, attendance, messaging, and scheduling).
- To enforce strict technical and organisational controls that keep each institution's data isolated from all others.
- To send academic notifications and reminders.
- To power AI-assisted learning features: only the necessary text is sent to reputable third-party artificial-intelligence providers; your personal identifying information is never included.
Who We Share Data With
- Within your institution only — other institutions cannot access your data.
- Trusted service providers contracted, under data-processing agreements, to operate our secure cloud infrastructure (database, authentication, and file storage), AI processing, and notification delivery — for operation only.
- We never sell your data to any third party.
Your Rights
- Access your personal data at any time through the app.
- Request deletion of your account and associated data — see our Account Deletion page, or email hello@academiq.app.
- Update your personal information via your in-app profile.
- Rotate your access code through your institution's administration.
Security
- Industry-standard encryption in transit and at rest.
- Strict technical and organisational controls that keep each institution's data isolated from all others.
- Automatic account lock after five consecutive failed login attempts.
- Sensitive operations are protected by server-side authorisation checks that cannot be bypassed by client-side requests.
Children's Privacy & Parental Consent
Academiq is an educational platform used under the control of schools and institutions, and may be used by children, including children under 13. We follow an institution-managed model: student accounts are created and managed by the institution's administration — children do not self-register.
- Consent: A child's account is created only after the institution has obtained the consent of the child's parent or legal guardian for the child to use the platform for educational purposes. The institution provides this consent on the guardian's behalf as part of enrolment.
- Supervision: A child's use is supervised by the institution and the parent/guardian, who can monitor activity, grades, attendance and messages through the guardian account.
- Minimisation & purpose: We collect only the data needed to provide the educational service. Children's data is never used for advertising or profiling, and is never sold.
- Guardian rights: A parent or guardian may, at any time, review their child's data, request corrections, or request deletion — through the institution's administration or by contacting hello@academiq.app.
If you believe a child's data has been provided without proper consent, contact us at hello@academiq.app and we will delete it promptly.
Data Retention
- Account data: retained for as long as the account remains active.
- AI usage logs: approximately 90 days.
- Audit records: approximately 180 days.

ما هي البيانات التي نجمعها؟
- معلومات الحساب: الاسم، البريد الإلكتروني، رقم الهاتف، الدور.
- السجلات التعليمية: الدرجات، الحضور، الواجبات، الإشعارات الأكاديمية.
- المعلومات الصحية: زيارات العيادة المدرسية — يطّلع عليها الكادر الطبي وأولياء الأمور فقط.
- الملفات: الصور الشخصية، مرفقات الواجبات، المرفقات الطبية.
- رموز الإشعارات: لإرسال الإشعارات الفورية فقط.
- الموقع (اختياري): يُستخدم في المقدّمة فقط لتتبّع حافلة المدرسة المشترك مع أولياء الأمور.
- تحليلات استخدام مجهولة الهوية: لتحسين الأداء (لا تحوي بيانات شخصية).
كيف نستخدم البيانات؟
- تشغيل الخدمة التعليمية الأساسية (الدرجات، الحضور، الرسائل، الجداول).
- عزل صارم لبيانات كل مؤسسة عن غيرها.
- إرسال الإشعارات والتذكيرات الأكاديمية.
- ميزات الذكاء الاصطناعي: يُرسَل النص الضروري فقط إلى مزوّدين موثوقين دون أي معلومات تعريفية شخصية.
مع من نشاركها؟
- داخل مؤسستك فقط — لا تطّلع عليها أي مؤسسة أخرى.
- مزوّدو بنية تحتية موثوقون (تحت اتفاقيات معالجة بيانات) لأغراض التشغيل فقط: الاستضافة السحابية، معالجة الذكاء الاصطناعي، وتسليم الإشعارات.
- لا نبيع بياناتك أبداً لأي طرف ثالث.
حقوقك
- الاطلاع على بياناتك في أي وقت.
- طلب حذف الحساب والبيانات — راجع صفحة حذف الحساب أو راسلنا على hello@academiq.app.
- تحديث معلوماتك من الملف الشخصي.
- تدوير كود الدخول عبر إدارة مؤسستك.
الأمان
- تشفير أثناء النقل وأثناء التخزين بمعايير الصناعة.
- عزل صارم لبيانات كل مؤسسة.
- قفل تلقائي بعد ٥ محاولات دخول فاشلة.
- العمليات الحسّاسة محميّة بفحوصات تخويل من جهة الخادم لا يمكن تجاوزها.
بيانات الأطفال وموافقة ولي الأمر
يُستخدم Academiq تحت إشراف المدارس والمؤسسات، وقد يستخدمه أطفال، بمن فيهم دون سن ١٣. نتّبع نموذجاً تديره المؤسسة: حسابات الطلاب تنشئها وتديرها إدارة المؤسسة — لا يسجّل الأطفال ذاتياً.
- الموافقة: يُنشأ حساب الطفل فقط بعد حصول المؤسسة على موافقة ولي الأمر أو الوصي القانوني.
- الإشراف: استخدام الطفل خاضع لإشراف المؤسسة وولي الأمر عبر حساب ولي الأمر.
- التقليل والغرض: نجمع فقط ما يلزم لتقديم الخدمة. لا تُستخدم بيانات الأطفال للإعلان أو التصنيف ولا تُباع.
- حقوق ولي الأمر: يمكنه مراجعة بيانات الطفل أو تصحيحها أو طلب حذفها في أي وقت.
إذا كنت تعتقد أن بيانات طفل قُدّمت دون موافقة صحيحة، راسلنا على hello@academiq.app وسنحذفها فوراً.
مدة الاحتفاظ
- بيانات الحساب: طوال فترة فعالية الحساب.
- سجلات الذكاء الاصطناعي: ~٩٠ يوماً.
- سجل التدقيق: ~١٨٠ يوماً.
